Spring Semester Closedown

Important Dates

  • Thursday, May 10th at 6pm: Residence Halls Close (Except Graduating & Summer Hall Students)
  • Sunday, May 13th at 12pm: Residence Halls Close for Graduating Students
  • Monday, May 14th: Summer Hall Students Relocate to Mattielou

Floor Meetings

  • Every resident must attend a closedown floor meeting. This can be any meeting within your hall (for example, if you live on 2nd and are unavailable at that time then you can go to the 4th floor meeting).
  • If you absolutely cannot attend due to class requirements or work obligations, you may arrange to meet with a Resident Advisor in your hall within 72 hours of the floor meeting.
  • Any resident that does not attend a floor meeting OR meet with a Resident Advisor will be fined $50 and this will be added to your student account. 

Official Check-Outs

  • You must officially check out of the residence halls. This can be done with a HRL staff member OR by Express Check-Out. 
  • Unofficial check-outs will be charged a $150 unofficial check-out fee and/or $35-$100 lock change fee (dependent upon assigned hall) and/or an applicable cleaning fee.
  • Please see Check-Out Process steps listed below for instructions on officially checking out. 

Check-Out Process

  • Schedule a Check-Out Time HERE. This must be done at least 24 hours in advance. If you opt for the Express Check-Out method, please see the section below for further instructions. 
  • Remove all personal belongings. 
  • Clean your room thoroughly. See the detailed list below. All residents in a room/cluster will be held responsible for commonly shared areas. 
  • Reset your furniture. Double rooms should be a mirror image of each other. 
  • Check-Out with a HRL staff member (RA): Document the room condition, acknowledge damages, sign paperwork, and return your key. 

Cleaning Tasks 

  • Take out your trash and dispose in the proper location. Large items must be taken outside. 
  • Clean your room. Sweep, Vacuum, and Mop Floors. Dust furniture.
  • Clean bathrooms & kitchens, if applicable. This includes counters, toilets, tubs, sinks, glass, etc. 
  • Lower and open your blinds. Turn off all lights. 
  • Your room/suite must be properly cleaned otherwise HRL staff cannot officially check you out. 

Check-Out Appointment

  • Sign up HERE for an official check-out time. This must be done at least 24 hours in advance.
  • An HRL staff member will meet you at your assigned room. Please have all check-out tasks completed by this time. 
  • If you have an emergency which prohibits you from checking out at your selected time, you must contact Housing & Residence Life via email or by calling 256-765-5558. 

Express Check-Out

  • Residents may opt into Express Check-Out by following the instructions below and agreeing to all terms.
  • Remove all personal belongings. Please note that any items left behind will be considered abandoned and disposed of immediately. 
  • Clean your room according to the detailed list above. All residents in a room/cluster will be held responsible for commonly shared areas. 
  • Reset your furniture. Double rooms should be a mirror image of each other. 
  • You do NOT have to assess and check-out with a HRL staff member, but you agree to the following when you Express Check-Out
    • You will be charged for any damages that were not listed in the check-in section of the original room condition report. Damages will be documented by HRL and added to your student account. There is no appeal process. 
    • Your room will be assessed for any cleaning charges within 24 hours of your departure and documented by a HRL staff member. Charges will be added to your student account and there is no appeal process. 
  • Return your key(s) to the Express Check-Out lockbox in the Mane Market/Housing & Residence Life vestibule area. You must complete the envelope in full and seal your key inside before depositing. 
  • Failure to complete all steps in the Express Check-Out process will result in a $150 unofficial check-out fee and/or $35-$100 lock change fee (dependent upon assigned hall) and/or an applicable cleaning fee.

Summer Hall

  • Summer Hall residents will stay in their spring assignment until Monday, May 14th. You may pick up your Summer Hall key on Monday, May 14th and will be given further instructions on your relocation timeline.
  • Prepared rooms will be available immediately. Rooms needing additional preparation may not be available until mid-week and you will remain in your spring assignment during that time period. 
  • Residents will have 24 hours to complete the Spring to Summer move once approval to move is granted. You may then check-out with a HRL staff member by requesting assistance during business hours at the HRL office in Rice Hall or complete the Express Check-Out process as described above.
